Orders and counter · made in Panama

Orders come in over WhatsApp or at the counter. They leave paid and delivered.

Sotoban understands what customers write, works out the price, holds the order until somebody validates the Yappy payment and dispatches it by zone. What comes in through the chat and what is sold at the till follow the same path.

Assisted pilot: we set up the number, the catalogue, the branches and the opening hours with you.

Example: a pharmacy receives a WhatsApp order for gloves and rubbing alcohol, to be delivered to Betania. The order waits with its Yappy payment pending validation, and next to it sits another order that came in at the counter and is already ready.

How it works

From the chat or from the till, every order follows the same path.

It is not two systems stuck together: it is one order, with one price, that your whole team sees move forward.

  1. 01

    It comes in

Over WhatsApp, written the way your customer speaks, or from the counter till.

  2. 02

    It is quoted

The price comes from your catalogue and delivery from your zones. Nobody works it out by hand.

It shows up on the preparation screen and rings until somebody accepts it.

Why Sotoban

Three things a menu link does not do.

A digital menu sends your customer off to fill in a form. Sotoban talks with them, charges with validation and quotes delivery by zone.

A conversation, not a form.

Your customer writes the way they speak, “three gallons of white and two brushes”, and the system builds the order with your catalogue and your prices.

  • If something that changes the price is ambiguous, it asks. It does not guess.
  • What costs nothing, like “no onion”, goes in as a note and is confirmed to the customer.
  • It speaks as your business, in the first person. It does not introduce itself as an assistant.

Yappy and bank transfer, with a person who validates.

The receipt arrives as a photo and waits in the payments queue. The order does not move to preparation until somebody checks it against the bank.

  • Validating releases it to preparation; rejecting cancels it.
  • Either way, the customer hears about it on WhatsApp.
  • A receipt can be forged. That is why a person decides.

Delivery by the real zones of Panama.

You draw your zones on the map, with the boundaries of the corregimientos, and give them a price. The customer sends their location and delivery quotes itself.

  • Also by distance: a base plus the kilometre, or by ranges.
  • Every order keeps the rate it was quoted with.
  • If the location did not come from the customer, it asks who receives it and their phone.

Also included

  • Several branches

Each with its own fulfilment modes, payment methods and bank accounts.

  • Conversation inbox

You see the chats and take over when needed. If the bot escalates on its own, it comes back after fifteen minutes if nobody wrote.

  • Operations dashboard

Sales and analytics over the same order that was prepared. There is no second number to reconcile.

Who it is for

For shops with a counter, orders and delivery.

If you already answer WhatsApp orders by hand and take Yappy payments, this is for you.

  • Fast food

“Two combos, one without onion, to take away.”

It reaches the preparation screen with the note in sight.

  • Pharmacy

“A pack of 24 paracetamol and two oral rehydration salts, delivered.”

Delivery is quoted by zone from each branch.

  • Hardware store

“Three gallons of matte white and two 2″ brushes.”

It asks about whatever changes the price before charging it.

  • Mini-market

“A case of water and two 5 lb bags of rice.”

It takes Yappy and holds the order until it is validated.

It fits if…

  • Somebody answers the business WhatsApp during opening hours.
  • You have customers who order again.
  • You take Yappy or bank transfers and check receipts by hand.
  • You already deliver with your own people, or could.

No small print

What Sotoban does not do. Better to know before the demo.

We would rather you learn it in the first conversation than in the first month.

Not included

  • DriversIt quotes and organizes delivery at the price you set. You deliver, or whoever already delivers for you.
  • Automatic payment validationThe receipt is a first filter, not proof: a person decides against the bank.
  • Cashback or pointsIt is an ordering system, not a rewards programme.
  • An app-store appIt installs from the browser on the tablet, the phone or the till computer.
  • Self-serve setup, yetWe set it up with you: WhatsApp number, catalogue, branch, opening hours and billing.

Surprises in the demo0

Founder price

Half the price, for the first ten shops.

Until ten shops sign up or until the end of the year, whichever comes first. The price stays that way for as long as you are a customer; after that the list price applies.

It is not a giveaway. In exchange we ask for three things:

  1. A testimonial about how it went.
  2. Permission to publish your numbers as a case study.
  3. A monthly call to tell us what to improve.

The questions that always come up

How much will I save?

It depends on what you pay today, and we are not going to invent a number for you. Bring us last month settlement statement and we will work out together what was left of each order. If it does not pay off for you, we will say so.

The aggregator brings me the driver. You do not.

True, and it matters. What Sotoban does is quote delivery by zone at the price you set, frozen per rate version, for whoever already delivers or can. Without that piece this migration would not be operable.

Is this about leaving the aggregator?

No. It is about keeping your repeat customers. The aggregator brings you the customer the first time; charging you commission on the fifteenth, for a customer who is already yours, is the leak. The migration runs through your own channels: your number on the packaging, on the receipt and in the venue.

Do my customers have to install anything?

No. They write to the same WhatsApp as always. The one installing something is your team, and it is a web app, not a store app.

Bring your delivery app settlement statement, or your order notebook.

We will work out together how much is left from each order. With your numbers, not with a brochure percentage.
